Roles & Responsibilities
The Front Desk Secretary is the first point of contact for visitors and clients, providing a professional and welcoming atmosphere. This role includes managing the front desk, handling administrative tasks, coordinating communications, and ensuring smooth daily operations of the office.
Responsibilities
- Keep the front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
- Greet and welcome guests
- Answer questions and address complaints
- Answer all incoming calls and redirect them or keep messages
- Receive letters, packages etc. and distribute them
- Prepare outgoing mail by drafting correspondence, securing parcels etc.
- Check, sort and forward emails
- Monitor office supplies and place orders when necessary
- Keep updated records and files
- Monitor office expenses and costs
- Take up other duties as assigned (travel arrangements, schedules etc.)
Qualifications and Skills:
- High school diploma or equivalent; additional certification in office administration or a related field is a plus.
- 1–3 years of experience in a front desk, receptionist, or administrative role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Familiarity with phone systems and office equipment.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a customer-focused mindset.
- Ability to multitask, prioritize, and stay organized in a fast-paced environment.
