The Executive Assistant provides high-level administrative support to executives, ensuring smooth operations and effective time management. Responsibilities include managing schedules, coordinating meetings, handling communications, preparing reports, and assisting with project management. The role demands excellent organizational skills, discretion, and the ability to handle sensitive information. Strong interpersonal and problem-solving skills are essential for liaising with internal teams and external stakeholders.
Responsibilities
- Serve as a liaison between the sales team and management to track sales targets and progress.
- Support the coordination of sales meetings, assist with client scheduling, and monitor sales activities.
- Provide regular sales performance reports and updates to leadership.
- Assist with tracking and processing sales commissions in a timely manner.
- Collaborate with the finance team to resolve any commission discrepancies.
- Maintain accurate records related to sales commissions.
- Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Prepare reports, presentations, and other materials for meetings.
- Handle confidential information professionally and with discretion.
- Facilitate communication between sales, finance, and executive teams.
- Distribute sales updates and commission reports as needed.
Desired Candidate Profile
· Proven experience as an Executive Assistant with familiarity in finance, accounting, or commission management.
· Understanding of sales commission structures and experience calculating commissions.
· Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and CRM software; experience with accounting software (QuickBooks, Xero, etc.) is a plus.
· Strong organizational skills, attention to detail, and ability to multitask.
· Ability to work independently, manage competing priorities, and meet deadlines in a fast-paced environment.
· Excellent communication skills, both written and verbal.
· High degree of professionalism, integrity, and confidentiality.
· Experience in a sales or finance-driven environment is a plus.
